Job Tasks and Responsibilities

Reporting to the Corp Admin & Coordination Manager, you will ensure reception services, office support and general administration support are provided in a timely and effective manner. Your key responsibilities include but are not limited to:

 

  • Directing incoming calls, take messages, handle queries and requests
  • Greeting clients and visitors in a professional manner
  • Maintaining incoming and outgoing mail/couriers
  • Managing and coordinating the building access and office access
  • Managing meeting room bookings in MS Outlook
  • Ensuring clean, tidy and presentable meeting rooms to users
  • Managing and replenishing office supplies
  • Processing purchase orders and supplier invoices
  • Providing general admin support to staff
  • Administrating office facilities including office furniture and fixture, appliances, equipment, plans, etc.
  • Coordinating with office building for required maintenance or building issues
  • Managing and coordinating car parking spaces for staff and visitors


 

Skills and Experience

  • Qualification in Administration is desirable
  • Sound interpersonal skills including excellent written and verbal communication skills
  • Excellent telephone answering skills
  • Strong administration skills, customer service and organisational skills
  • A positive attitude and can-do attitude
  • Proficient in the use of Microsoft Excel, Word, Outlook and PowerPoint
  • 3-5 years Administration/Receptionist experience
